THE ASSEMBLY HALL CO-WORKING SPACE
What is the purpose of this Notice?
1.1 Teesside University (the “Data Controller”) is committed to protecting the privacy and security of your personal data. Personal Data means any information which relates to or identifies you as an individual.
1.2 This notice applies to members and individuals who express an interest in, the Assembly Hall co-working facility.
Why we process your personal data
2.1 The University will collect personal data from you in order to facilitate membership of the co-working space and to deliver the associated services and facilities described in your membership agreement with us.
2.2. We collect details of individuals that express an interest in and/or sign up to our membership programme in order to:
2.2.1. Respond to queries about the services we offer and our membership packages;
2.2.2. Communicate with you about your membership and use of the facilities;
2.2.3. Manage payment of fees;
2.2.4. Issue membership cards;
2.2.5. Arrange car parking;
2.2.6. Manage guest access;
2.2.7. Take room hire bookings;
2.2.8. Maintain safe and secure co-working premises. This includes the operation of CCTV throughout the premises, except in private hire rooms and, should you choose to sign up to it, the University’s Safe Zone app;
2.2.9. Monitor and respond to Health & Safety issues and incidents;
2.2.10 Produce management reports about the use of the facilities, including visitor numbers and trends and patterns related to individual services 2.2.11 Inform you about other University services and offers that we think may be of interest to you.
What personal data is processed?
3.1. The personal data we collect from you may differ according to the activity being undertaken but includes:
3.1.2. Home address;
3.1.4. Telephone number;
3.1.5. Email address;
3.1.6. Role and company details;
3.1.7. Still and moving images;
3.2. We may collect the following categories of more sensitive, ‘special category’ personal data:
3.2.1. Disability and relevant health information as required to ensure safe site access and use of the facilities
4.1. The University has a lawful basis to collect this personal data because:
4.1.1 It is necessary for the performance of the membership contract, or to take to steps to enter into a membership contract;
4.1.2 It is necessary for compliance with a legal obligation, including Health & Safety legislation
4.1.3 It is necessary for the purposes of the University’s legitimate interests
4.1.4 Where we process special category personal data, this is in relation to the significant public interest in ensuring the health & safety of our members and staff.
5.1 Personal data may be processed by other organisations on our behalf where they have been contracted to provide services to us and where the transfer is necessary for the provision of those services. In such cases, the University will agree terms which ensure the privacy and security of your personal data.
6.1 Personal data will be held only as long as is necessary for business purposes in line with the University’s Classification Scheme and Record Retention Schedule.
Rights, contact details and lead supervisory authority
7.1 You have a number of rights in relation to your personal data, such as the right to access a copy of the data that we hold about you. Further information about these rights and how you can contact us as well as who our Lead Supervisory Authority is, can be found in Paragraph 11 of the University’s General Privacy Notice.
Changes to this privacy notice
8.1 We reserve the right to update this privacy notice at any time. We may also notify you in other ways from time to time about the processing of your personal data.
